Purpose of Processing Personal Data

The purpose of processing personal data in the Lähellä.fi service is 

  • provision and maintenance of the service

  • managing and handling feedback (communication with users who provide feedback)

  • service development

  • service security

  • monitoring and analysing usage

Details of data collected on forms and automatically are provided separately or clarified as needed.

 

Legal Basis and Content of Data Processing

 

Based on consent, processing and responding to feedback, experiences, and development suggestions when the user wishes to receive a response. The register may store data such as name, nickname, email address, phone number, or other contact information provided by the user.

Based on consent, personal data provided in surveys and raffles, which may include name or nickname, gender, year of birth, email address, postal address, and phone number, depending on the activity.

Based on service agreements between the Lähellä.fi online service administrator and services tracking end users (such as Google Analytics or other analytics services), no end user personal data is processed identifiably.

Social media platforms (e.g., Facebook and Twitter) and embedded services (e.g., YouTube) within Lähellä.fi may collect personal data according to their own terms and practices. The Lähellä.fi maintenance does not process data collected by these services. Users should consult each service's own privacy policy.

Lähellä.fi also includes links to other online services. We are not responsible for their privacy practices or content. Users should review each service’s own privacy policy separately.

Cookies are used to ensure the correct operation of the service and to store session information temporarily.

 

Recipients and Recipient Groups of Personal Data

Personal data may be received and processed by

  • Lähellä.fi service administrators, in relation to feedback, development suggestions, and contact requests

  • the service administrators, for the purposes of monitoring usage and service development

  • individuals responsible for surveys and raffles

  • an outsourced IT service provider responsible for technical maintenance and system development of the Lähellä.fi service. The provider may process all personal data in the Lähellä.fi service if necessary.

 

Retention Period of Register Data

Personal data is stored for a fixed period:

  • Feedback, user support requests and development suggestions are deleted once a response has been provided. Responses are given as promptly as possible.

 

As the data controller, we regularly assess the necessity of data retention in accordance with applicable legislation.

 

Regular Sources of Data

Personal data is collected directly from the individuals using the Lähellä.fi service.

 

Disclosure and Transfer of Data, Including Outside the EU/EEA

The data controller does not disclose personal data from Lähellä.fi to third parties unless required so by Finnish authorities. Data is not public and is only directed to the administrators.

Data submitted by end users via forms in the Lähellä.fi service is not transferred outside the EU/EEA. However, if the user engages with embedded or social media content within the service, such services may transfer personal data outside the EU/EEA. Similarly, Google Analytics, used for monitoring usage, may transfer data outside the EU/EEA. The data controller of Lähellä.fi is not responsible for such transfers. Each service’s privacy policy should be reviewed individually.

 

Principles of Data Register Security

The register is stored confidentially using appropriate technical and organisational data security measures. Data is stored in a system accessible only to specific employees using usernames and passwords. Networks and devices are protected with firewalls and other necessary technical safeguards. Databases and backups are stored in locked facilities provided by the IT service provider, with access granted only to designated individuals.

Enquiries and requests related to this privacy notice should be sent by email to info@lahella.fi. The data controller has the right to verify the identity of anyone making a request regarding their data. If sufficient information is not provided, the controller may refuse the request.

 

Right to be Notified of Personal Data Breaches

The data controller will notify affected individuals of any data breach that is likely to result in a high risk to their rights and freedoms. Notification may be made directly or via public means (e.g., media) if direct contact causes unreasonable burden to the data controller. The controller will also notify the Data Protection Ombudsman.

Personal data is not required in the following scenarios unless the user wants a response:

  • user support requests
